Personal Data Protection Notice

Addenda Company Limited and its affiliates located in Thailand (collectively referred to as “ADDENDA”) issue this notice to inform

you of the collection, use, and disclosure (collectively referred to as “processing”) of personal data related to individuals associated with ADDENDA for human resources purposes. 

This notice applies to current and former employees, contractors, consultants, probationers, interns, job applicants, and individuals related to them such as family members or emergency contacts. It is issued in accordance with the Personal Data Protection Act B.E. 2562 (2019) of Thailand, the General Data Protection Regulation (GDPR) of the European Union, and other applicable data

protection laws. 

1. Purposes of Personal Data Processing 

ADDENDA process your personal data to support lawful and effective human resources management. This includes processes related to: 

  • Recruitment, onboarding, and employment administration. 

  • Benefits, payroll, performance evaluations, and training. 

  • Contractual and legal compliance. 

  • Safeguarding legitimate business interests. 

  • Establishing, exercising, or defending legal claims. 

You have the right to decide whether to provide your personal data. However, failure to provide necessary data may impact on ADDENDA’s ability to fulfill legal or contractual obligations and may limit access to benefits or employment opportunities.

ADDENDA may collect and process the following categories of personal data: 

  • Personal Information: Name, gender, date of birth, nationality, marital status, ID/passport number, educational background, family details. 

  • Identification Data: Biometric data (e.g., facial or fingerprint scans), ID card copies, passport. 

  • Health Information: Vaccination records, medical certificates, health status, allergy information. 

  • Employment Records: Resume, work experience, performance reviews, training records, history, disciplinary actions. 

  • Contact Information: Residential address, email, phone number, Line ID or social media accounts. 

  • Financial Information: Bank account details, salary, taxpayer identification. 

  • Related Persons’ Data: Spouse, dependents, emergency contacts. 

  • Visual and Audio Media: Employee photos, CCTV footage, and call recordings where applicable. 

3. Retention Period

ADDENDA will retain personal data only for as long as necessary: 

  • For hired personnel: Throughout the employment period and for up to 10 years post-employment, or longer if required by law. 

  • For unsuccessful applicants: Up to 5 years from the date of application for future employment consideration or legal compliance.

ADDENDA may process sensitive personal data (such as religion, biometric information, or health status) only

with explicit consent

5. Disclosure of Personal Data

ADDENDA may share personal data with: 

  • Government agencies (e.g., Ministry of Labour, Immigration Bureau, Social Security Office, Revenue Department). 

  • Authorized service providers, including: 

  • Payroll processors 

  • Health and life insurance companies 

  • HR systems  

  • External training and development providers 

  • Auditors, consultants, and certifying institutions with legitimate authority 

All data recipients are required to maintain appropriate data protection standards and contractual safeguards. 

6. Your Rights as a Data Subject

You are entitled to the following rights under applicable data protection laws: 

  • Withdraw consent at any time, where consent is the legal basis. 

  • Access your personal data and obtain a copy. 

  • Request data portability in a structured, commonly used format. 

  • Object to data processing based on legitimate interest. 

  • Request deletion, destruction, or anonymization of data. 

  • Restrict the processing of your data in certain circumstances. 

  • Correct incomplete or inaccurate personal data.

A copy of your ID or equivalent documentation may be required for identity verification. ADDENDA reserve the right to reject requests where legally justified, in which case you will receive an explanation.

ADDENDA is committed to protecting your data using industry-standard administrative, technical, and physical safeguards, including: 

  • Access controls and role-based access 

  • Encryption and secure storage 

  • CCTV and log tracking for sensitive locations 

These measures ensure that personal data is processed lawfully, fairly, and transparently.

This Notice may be updated from time to time to reflect changes in applicable law or organizational practices. The latest version will be published through internal communication channels. Please review it periodically.
